To clone an estate management inspection type

As the variations in required estate management inspection types may be only minimal, it is possible to clone existing types, retaining all the attributes and configuration settings for the applicable estate classifications, operating SLAs and default case allocation rules, etc. and apply the required changes to the new copy, thus saving time and effort.


The procedure to clone an estate management inspection type is as follows:

  1. Navigate to Quick Menu > Estate Management > Configuration > Inspection Type. The Inspection Type Configuration window is displayed.
  2. Expand an estate classification heading and select an inspection type from the alphabetical list, or enter its name into the Search Inspection Types field. By default the list is filtered to show Current inspection types. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations 1.
  3. Click on Clone Inspection Type. The Inspection Type Configuration window is populated with all the attributes of the source inspection type, including the linked company records 2.
  4. Enter a Description for the new estate management inspection type into the field provided 3.
  5. Amend the Preparation time (days) value, as required, to reflect the required latency period for this cloned inspection type i.e. the inbuilt lead time between the creation of an estate management case and the target inspection date. The Up and Down arrows are available to increment or decrement the value, as required.
  6. Using the Calendar drop-down field, ensure that the selected calendar is still valid for this cloned inspection type and apply an required change i.e. to steer the intrinsic planning, preparation and implementation frequency.
  7. Using the Applicable estate types drop-down field, ensure that the selected parameter values reflect the scope of this cloned inspection type and apply any required changes.
  8. Amend the Effective from date for this estate management inspection type, as required i.e. the date on which it came into effect.
  9. Amend the Effective to date if the estate management inspection type status is to be reviewed on a specific date or to capture a change of circumstances; a blank field means the inspection type will never expire.
  10. Click on Save. The new cloned inspection type is displayed in the alphabetical list, underneath the assigned estate classification headings 4.


Note

1 The Search Inspection Types field will match against any element of the estate management inspection type description.

2 All companies linked to the source inspection type are automatically transferred to the new cloned record and cannot be changed.

3 System validation rules ensure that the description entered for each new estate management inspection type is unique for the effective period.

4 To amend the details of an existing inspection type, expand an estate classification heading, select an inspection type from the alphabetical list (or enter its name into the Search Inspection Types field) and repeat steps 4 through 9. By default the list is filtered to show Current inspection types. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations. Only a limited number of fields can be updated once a record has been created.
