As the variations in required communication definitions may be only minimal, it is possible to clone existing communications, retaining all the attributes and configuration settings for the assigned parameters, conditional tags, list criteria, etc. and apply the relevant changes to the new copy, thus saving time and effort.
The procedure to clone a communication definition is as follows:
- Navigate to Quick Menu > Communication Engine > Configuration > Communication Definitions. The Communication Definitions window is displayed.
- Expand a module and linked entity from the alphabetical list and select an associated communication definition, or type its name into the Search Communications field. By default the list is filtered to show Current communication definitions. An alternative filter can be applied using the Filter by drop-down field: Expired, Future or All combinations
1.
- Click on Clone Communication. The Communication Maintenance window is populated with all the definition attributes of the source communication.
- Enter a Communication description for the new definition into the field provided.
- Using the Module, Entity, Companies and Recipient Type drop-down fields, ensure that the selected parameter values are still valid for this communication definition and apply any required changes.
- Amend the Effective from date for this communication definition, as required i.e. the date on which the communication came into effect
2.
- Amend the Effective to date for this communication definition, as required i.e. to specify the valid duration; a blank field means the communication definition will never expire.
- Adjust the permitted communication attributes using the tick boxes provided: Ad hoc, Automated, Bulk creation, Method override, Store copy in database and Send to EDM
3.
- Adjust the Parameters, Conditional Tags, Metadata, List Criteria and associated Templates, appropriate for the communication copy
4.
- Click on Save. The clone communication definition appears in the alphabetical list underneath the Module heading and linked Entity sub-heading.
Note
1 The Search Communications field will match against any element of the communication description.
2 The Effective from date defaults to the current system date and cannot be left blank.
3 More than one communication attribute may coexist.
4 The Clone Communication function is most effective where only minimal changes are required in these tabs, although any number of amendments are permitted.
