To assign conditional letterheads to a communication definition

Once a custom letterhead has been created, it can be mapped to any number of existing or newly created communication templates and, at the point of compilation, criteria rules constructed using the established Advanced Statement Builder (or more complex algorithms executed through a SQL subroutine) can be used to determine which specific letterhead variant should be merged in each instance.


The procedure to assign conditional letterheads to a communication definition is as follows:

  1. Navigate to Quick Menu > Communication Engine > Configuration > Communication Definitions. The Communication Definitions window is displayed.
  2. Expand a module and linked entity from the alphabetical list and select an associated communication definition, or type its name into the Search Communications field. By default the list is filtered to show Current communication definitions. An alternative filter can be applied using the Filter by drop-down field: Expired, Future or All combinations 1.
  3. Click on Conditional Letterheads. The Conditional Letterheads tab is activated.
  4. Click on New Conditional Letterhead. The Conditional Letterhead window is displayed.
  5. Using the Letterhead drop-down field, select a customised letterhead format to be potentially merged with the communication template at the point of compilation or preview.
  6. Activate the Default Letterhead attribute, as required, to denote that this letterhead will take precedence in circumstances where multiple conditions transcending different variants are satisfied 2.
  7. Click on Save. The mapped letterhead is displayed in the corresponding Letterhead Details grid.
  8. Repeat steps 4 through 7 to add further letterheads to the communication definition.

1 The Search Communications field will match against any element of the communication description.

2 System integrity checks ensure that only one letterhead can be ascribed with the Default Letterhead] setting, and transferring it between variants is permitted only after end user acknowledgement.
