To add a rent arrears action

The procedure to add a rent arrears action is as follows:

  1. Navigate to Quick Menu > Rents > Configuration > Arrears Action. The Arrears Action window is displayed.
  2. Click on New Arrears Action. All fields are activated ready for data entry.
  3. Enter a Description for the rent arrears action into the field provided 1.
  4. Using the Arrears Policy drop-down field, multi-select all rent arrears policies associated with the action, or choose the All option, as required 1.
  5. Where the arrears action will initiate a correspondence to a tenant or stakeholder, use the Communication Definition drop-down field to select the desired communication template.
  6. Where a rent arrears stage is associated with the action, use the Arrears Stage drop-down field to select the desired stage identifier.
  7. Using the Add Roles drop-down field, multi-select all user roles permitted to assign this action to a rent account, or choose the All option, as required 1.
  8. Using the Authorise Roles drop-down field, multi-select all user roles permitted to authorise this action for a rent account, or choose the All option, as required 1.
  9. Using the Disable Roles drop-down field, multi-select all user roles permitted to disable this action for a rent account, or choose the All option, as required 1.
  10. Where a notice type is associated with the action, use the Notice Type drop-down field to select the desired parameter value.
  11. Using the Company drop-down field, multi-select all companies for which this rent arrears action is relevant, or choose the All option, as required 1.
  12. Multi-select the required attributes for the rent arrears action by activating the tick boxes provided. An explanation of each available attribute is summarised in the table below.
  13. Choose an Effective from date for this rent arrears action i.e. the date on which it came into effect 2.
  14. Choose an Effective to date if the rent arrears action is to be reviewed on a specific date or to capture a change of circumstances; a blank field means the action will be continually valid.
  15. Click on Save. The new rent arrears action appears in the alphabetical list 3.


Tip

1 Where only a small number of parameter values are not required, activate the All tick box first and then deselect individual items from the full list, as required; the All tick box will be automatically removed once an item is deselected.

Note

1 System validation rules ensure that the description entered for each new rent arrears action is unique.

2 The Effective from date defaults to the current system date and cannot be left blank.

3 To amend the details of an existing rent arrears action, select an action from the alphabetical list (or type its name into the Search Arrears Action field) and repeat steps 3 through 15. By default the list is filtered to show Current arrears actions. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All.
