The process to add a completely new address to a contact group or to link an existing address already held on the database are very comparable. When viewing a contact group all the associated addresses are displayed via the Addresses tab. Multiple addresses may be maintained for a single contact group to capture the main residence, correspondence address, forwarding address, etc.
The procedure to add a new contact group address is as follows:
- Using the Advanced search spy-glass (
), select Contact group as the Result Set and Criteria Set category and enter the Group name as the search criteria

- Double-click on the row containing the exact record match or use Refine Search to enter alternative criteria. The Contact Group Summary window is displayed.
- Click on Contact Group Details.The Contact Group Details window is displayed for the current group.
- Click on Addresses. The Addresses tab is activated.
- Click on New Address. The Search Address window is displayed.
- Enter sufficient address details into the search fields provided and click on Search. The Select Address window is displayed.
- For a completely new address the search results will return 'No matches found'. Where the address already exists, double-click on the row containing the exact record match and proceed to step 11.
- Click on Add Address. The Address Details window is displayed.
- Complete the entry of the full address and choose an Effective from and Effective to date for this new address i.e. the date range within which it is valid for this contact group
2. Using the Company drop-down field, multi-select individual companies that are relevant to this address, or choose the All option, as required

- Click on Save. The Address Details window is displayed.
- Using the drop-down fields provided, select an Address type, Tenure Type and Accommodation type for this address. For postal addresses, use the Send post here tick box provided

- Again, use the Effective from and Effective to dates that are appropriate to the categorisation of this address.
- Click on Save. The address components are displayed with comma separators.
Tip
1 Where only a small number of parameter values are not required, activate the All tick box first and then de-select individual items from the full list, as required; the All tick box will be automatically removed once an item is de-selected.
Note
1 Additional search criteria may need to be employed (e.g. address or post code) to ensure that the correct contact group is returned.
2 The Effective from date defaults to the current system date and cannot be left blank. Choose an Effective to date if the address is only valid up to a specific date in the future; a blank field means the address is continually valid.
3 Only one postal address is permitted for each contact group; where an existing address already has this status the user will need to reaffirm one or the other.
