To add a document reference to a SharePoint EDM integration service

The configuration of a document mapping reference defines which unique record identifier within Civica Cx Housing - determined from the Entity Type and Reference Type - should be used as the matching field for all source documents located in the specified site collection; only those documents where the intrinsic Content Type and Column value combination corresponds to the chosen record identifier will be returned. Multiple document mapping reference entries can be created to broaden the range of documents that are returned via the associated launch point.


The procedure to add a document reference to a SharePoint EDM integration service is as follows:

  1. Navigate to Quick Menu > System > Configuration > Integration Management. The Integration Management window is displayed.
  2. Expand the SharePoint content store subheading from within the nested EDM System classification structure and select an associated integration service from the alphabetical list (or enter its name into the Search Integrations field). By default the list is filtered to show Current integration services. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations 1.
  3. Click on Document Management. The Document Management tab is activated, revealing all discrete document launch points configured for the integration service in the EDM Document Location summary table.
  4. Highlight the row matching the discrete launch point for which an associated mapping reference will be defined.
  5. Click on New Document Reference 2. The EDM Document Reference window is displayed.
  6. Using the SharePoint content types drop-down field, multi-select the applicable document classifications to be returned via this discrete launch point.
  7. Using the SharePoint column drop-down field, select the list setting used to store the relevant content reference value.
  8. Using the Cx related entity type drop-down field, select the specific focus area relevant to the internal mapping reference e.g. ASB Case.
  9. Using the Cx reference type drop-down field, select the specific data element to be mapped against the corresponding SharePoint column value e.g. ASB Case Reference, User Defined Field, etc. 3.
  10. Activate the Permitted Roles (All) tick box to grant all system users with viewing access to those documents retrieved via this reference link, or multi-select a subset using the adjacent drop-down field 1.
  11. Choose an Effective from date for this document mapping reference i.e. the date on which it came into effect.
  12. Choose an Effective to date if the document mapping reference is to be reviewed on a specific date or to capture a change of circumstances; a blank field means the entry will be continually valid.
  13. Click on Save. The new mapping entry is displayed in the Document References summary table.


Tip

1 Where only a small number of parameter values are not required, activate the All tick box first and then deselect individual items from the full list, as required; the All tick box will be automatically removed once an item is deselected.

Note

1 The Search Integrations field will match against any element of the EDM service description.

2 This option is only activated on selection of an existing document location entry.

3 Only valid reference types matching the selected focus area will be available for selection.
